Hillary Clinton’s infamous email server: 6 things you need to know

Hillary Clinton’s use of a private email server when she served as US secretary of state has been a major issue for the 2016 presidential candidate. Here are the six most critical facts about it.

The FBI recently wrapped up its investigation into Hillary Clinton’s use of a personal email server while she was serving as secretary of state. FBI director James Comey called the actions “extremely careless,” but recommended that no charges be brought against Clinton.

She is now the presumptive Democratic nominee for the upcoming presidential election in November, and her actions relative to the email server have become a hot-button issue among her opponents. The situation, however, is nuanced; and there are a lot of details to understand about the scenario. Here are the most important facts.

1. What happened?

While serving as secretary of state under President Barack Obama, Hillary Clinton used multiple private email servers to communicate regarding government business, according to the State Department. Additionally, it was revealed that Clinton never had a government (.gov) email address while she was serving in her post—we’ll talk about which email address she used in a moment—and her aides did not take any actions to preserve the emails sent through her personal account. This prompted an investigation by the FBI to determine if Clinton intentionally put classified information at risk.

2. Why does it matter?

Clinton handed over 30,000 emails to the State Department, of which 110 contained classified information at the time they either were sent or received, according to the FBI’s findings. During the investigation, though, Clinton asserted that none of the emails she sent or received were classified at the time. The biggest implication has been the potential threat to national security. While the contents of the emails have not fully been released, if they had contained sensitive information it could have possibly fallen into the wrong hands. As noted by the New York Times, Comey said it was “possible” that enemy foreign governments had accessed Clinton’s personal email account.

The second biggest implication is that of transparency. The Federal Records Act requires that all communication in certain branches of government be recorded on government servers, and it forbids the use of a personal email account for government business, unless those emails are then copied and archived. However, there are a lot of technicalities involved, and there is evidence that other government officials had violated the act. As Alex Howardwrote for the Sunlight Foundation, there is also evidence that Clinton tried to control the discoverability of the emails under the Freedom of Information Act (FOIA), which could set a precedent for limiting public access to government records. It is also believed that Clinton deleted 31,000 emails deemed personal in nature before turning the emails over to the State Department.

3. When did it start?

When she was appointed secretary of state in 2009, Clinton began using the email address hdr22@clintonmail.com, tied to a personal server. Clinton’s personal email server was first discovered in 2012, by a House committee investigating the attack on the American Consulate in Benghazi. In 2013, hacker Guccifer claimed to have accessed Clinton’s personal email account and released emails that were allegedly related to the Benghazi attack.

The next year, in the summer of 2015, the State Department began asking Clinton for her emails correspondence, and she responded by delivering boxes containing more than 30,000 printed emails. In early 2015, the New York Times reported that Clinton had been using her personal email exclusively, and never had a government email address. A federal watchdog group issued an 83-page report condemning the “systemic weaknesses” of Clinton’s email practices in May. On Tuesday, the FBI concluded its investigation and recommended against any charges.

4. What tech was used

When Clinton was running for president in 2008, she had a private server installed at her home in Chappaqua, New York. The domains clintonemail.com, wjcoffice.com, and presidentclinton.com, which were registered to a man named Eric Hoteham, all pointed to that server. In 2013, a Denver-based IT company called Platte River Networks was hired to manage the server, but wasn’t cleared to work with classified information. The company executivesreceived death threats for taking on the contract. It was later discovered that multiple private servers were used for Clinton’s email.

Clinton used a BlackBerry phone to communicate during her tenure as secretary of state, including sending and receiving emails through her private server in New York. The State Department expressed concern about the security of the device. Clinton had requested the NSA provide a strengthened BlackBerry, similar to the one used by President Obama. But, her request was denied. Instead, the NSA requested that Clinton use a secure Windows Phone known as the Sectera Edge, but she opted to continue using her personal BlackBerry.

5. Will she be prosecuted?

Right now, it’s too early to tell whether or not Clinton will be charged for her use of private email servers. While Comey’s recommendation that no charges be brought will likely weigh in the decision, it is ultimately up to the US Department of Justice to make the call. However, a recent Politico analysis of multiple, similar cases spanning the past 20 years, seem to point to an indictment being “highly unlikely.” According to a former senior FBI official quoted in the analysis, the Justice Department tends to avoid prosecution in cases that are not “clear-cut.”

6. What can businesses and IT leaders learn?

The first lesson that IT can learn from this situation is that transparency is critical, at all levels in your business. This isn’t to say that the CEO should be broadcasting his or her emails to all employees every week, but steps should be taken to ensure that information can be accessed if need be. As part of adigital leak protection program, security expert John Pironti said that organizations need to know if users are using a personal email account to conduct business.

“This behavior is often a violation of acceptable use policies and can expose an organization’s sensitive information to unsecured systems and e-mail accounts,” Pironti said. “Without this visibility an organization may not be aware that their intellectual property, customer data, or sensitive data assets are not being protected appropriately and they also may be in violation of contractual agreements with their clients regarding the security of their data as well as regulatory requirements.”

The second takeaway for IT is that policies should be enforced from the top down. Sure, a CXO may get their support tickets expedited, but that doesn’t mean that exceptions should be made that could compromise the security or integrity of the organization for the sake of comfort or convenience. Leaders should model the policies that are in place to showcase the importance of adhering to them, especially regarding security and privacy policies.

Finally, the importance of records management should not be overlooked. In Clinton’s case, since multiple servers were used, the FBI had to piece together “millions of email fragments” before they could look into them. Proper labeling and management of all records will make for a more cohesive environment and assist in accountability.

How to install and activate Windows 10 using your Windows 7 or Windows 8 product key

Summary

Microsoft recently announced the first major update to Windows 10 which includes numerous improvements for end users and businesses. One of the welcome improvements is the compliance check when qualifying for the Windows 10 upgrade. Previously, Windows 7, Windows 8.0 and Windows 8.1 users needed to have either of those versions Windows installed and activated in order to qualify for the free upgrade offer. For persons who needed to perform a clean install of Windows 10 from the outset, it was a two step process of first validating the machine through the upgrade routine, ensure the Windows 10 Upgrade was activated, then proceed to perform a Reset. With the latest November Update (1511), users no longer have to go through this process. In this article, we take a look at how to install and activate Windows 10 using your Windows 7 or Windows 8 product key.

For the purposes of this article, We are using a Windows 7 license to perform clean install using Windows 10.

Please note: The copy of Windows 10 you download must correspond with the edition of Windows you are licensed for:

  • Windows 7 Starter, Home Basic, Home Premium, Windows 8.0 Core, Windows 8.1 Core must use a Windows 10 Home ISO
  • Windows 7 Professional, Windows 7 Ultimate, Windows 8.0 Pro, Windows 8.1 Pro must use a Windows 10 Pro ISO
  • If you are using Windows 7 Enterprise, Windows 8.0 Enterprise, Windows 8.1 Enterprise editions you won’t be able to use the free upgrade offer.

Have your Windows 7 or 8/8.1 product key ready. If you purchased a retail license, you can find the product key within the product box. The Windows 7 product key is normally found on an orange sticker attached to a pamphlet inside the box. The Windows 8/8.1 product key is found on a small business size card. See examples below. Please note, you can also use your OEM product key too if Windows came preinstalled on your computer.

If your computer came preinstalled with an OEM version of Windows 7, look for the Certificate of Authenticity sticker attached to the chassis of your computer. Normally this can be at the side or top of the system unit. For laptops, look at the bottom of the chassis or inside the battery or memory compartment. It looks like the following:

If you are running an OEM preinstalled Windows 8/8.1 license, Windows 10 setup should automatically detect the product key and install it automatically.

With Windows 8, Microsoft had changed from stickers that have the product key that the user has to type in when installing the operating system to new BIOS embedded product keys. The idea is that by eliminating the sticker, you eliminate one of the easier ways for nefarious users to get a legitimate product key. Eliminating the product key sticker also removes any worry that the sticker might get damaged while at the same time eliminating the long and irritating process of typing in various letters and numbers when installing the operating system.

If the user has to reinstall the operating system on a machine that came with Windows 8, the installation process automatically grabs the software product key from the motherboard BIOS with no input from the user. This means that those familiar Windows product key stickers will no longer appear on the Windows 8 computers.

If you have lost your Windows product key, Microsoft recommends you purchase a new one.

The end is near: Say goodbye to the Windows 10 free upgrade

The deadline for a free Windows 10 upgrade is right around the corner. Find out what happens after the offer expires.

Don’t look now, but July 29, 2016, is coming up fast. That is the one-year anniversary of the release of Windows 10, which means the ability to upgrade to the new operating system for FREE will soon expire. (If you are interested, you can take a look at the official countdown here.)

In a January 21, 2015, Windows Experience blog post titled The next generation of Windows: Windows 10, we learned that Windows 10 would be a free upgrade. Author Terry Myerson said:

Today was a monumental day for us on the Windows team because we shared our desire to redefine the relationship we have with you—our customers. We announced that a free upgrade for Windows 10 will be made available to customers running Windows 7, Windows 8.1, and Windows Phone 8.1 who upgrade in the first year after launch.

A little over six months later, on July 28, 2015, Myerson penned another Windows Experience blog post, titled Windows 10 Free Upgrade Available in 190 Countries Today, in which he reiterated the free upgrade policy:

From the beginning, Windows 10 has been unique—built with feedback from five million Windows Insiders, delivered as a service with ongoing innovations and security updates, and offered as a free upgrade to genuine Windows 7, Windows 8.1 and Windows Phone 8.1 customers.

If you’ve been reading articles by Woody Leonhard or Paul Thurrott in recent months, you know that Microsoft has been upping its game with the Get Windows 10, or GWX, program it built into Windows 7 and Windows 8.1. It really wants every Windows user everywhere to be running Windows 10.

Any holdouts—Windows 7 or Windows 8.1 users who have been sticking to their guns so far—have only a few more weeks to go before losing their chance to get Windows 10 for free.

In a recent Windows Experience blog post titled Windows 10 Now on 300 Million Active Devices – Free Upgrade Offer to End Soon, Yusuf Mehdi, the corporate vice president of Microsoft’s Windows and Devices Group, said:

…we want to remind you that if you haven’t taken advantage of the free upgrade offer, now is the time. The free upgrade offer to Windows 10 was a first for Microsoft, helping people upgrade faster than ever before. And time is running out. The free upgrade offer will end on July 29 and we want to make sure you don’t miss out. After July 29th, you’ll be able to continue to get Windows 10 on a new device, or purchase a full version of Windows 10 Home for $119.

What will Windows 10 cost after July 29?

As Mehdi pointed out in his post, you will be able to purchase a full version of Windows 10 Home for $119.

But how much will Windows 10 Pro cost?

Well, if you head over to the Microsoft Store right now, you’ll find that you can purchase both Windows 10 Home and Windows 10 Pro as a download or on a USB flash drive. Windows 10 Pro will cost you $199.99. And moving past the July 29 deadline for the free upgrade, it’s a pretty safe bet that prices will remain the same—especially since they’re the same price points that the full versions of Windows 8.1 Home and Pro sold for when that operating system was new.

Will there be upgrade versions of Windows 10 after July 29?

Since Microsoft provided free upgrades for a full year, I wonder if there will be upgrade packages for Windows 7 and Windows 8.1 users who decide to upgrade to Windows 10 after July 29. I suppose that it’s possible, but then again, maybe not. When Microsoft introduced Windows 8.1 packages, it offered only the full versions—there were no upgrade versions of Windows 8.1. With that in mind, it’s easy to speculate that this may also be the case with Windows 10.

Microsoft Snip brings Windows screenshots to life with voice and ink

Microsoft released a free app for capturing, annotating, and explaining screenshots.

In late August 2015, Microsoft released a free screen capture and annotation application called Snip (Figure A). But the twist in the story is the fact that Snip is not part of some master strategic plan.

While the name is a bit confusing, Snip is not the same thing as the improved Snipping Tool that comes free with Windows 10. The Snipping Tool will capture screenshots, but it does not have any annotation features.

Snip, on the other hand, is a free tool developed through a Microsoft Garage project that allows users to capture screenshots and then annotate them (Figure B). With the Snip app, users can draw on their captured screenshots using a software pen, which is available in various colors and sizes.

Snip can also record the annotation, and your vocal description of it, to create a short video that users can share as a URL or as an MP4 video (Figure C). These features make Snip very useful for creating and sharing short instructional videos.

Cultural shift

The important thing to note about Snip is the way it was developed and released. Under the Garage program, Microsoft employees are encouraged to work on projects outside of their official duties. The idea is to create an environment where employees can experiment, innovate, and exercise their creativity.

Releasing an app like Snip in beta form to the general public indicates a shift in attitude when it comes to app development at Microsoft. Snip has been released without worrying about whether it will generate a revenue stream or ever make a profit. As far as I can tell, there are no expectations regarding Snip and how it fits into the overall corporate strategy.

Snip is just a nice little program that Microsoft thinks people will find useful, and they’d appreciate some feedback on how to make it even better. No promises, no expectations, no quid pro quo. Microsoft is trying hard not to be the stodgy old software company anymore.

Snip also fits in well with Microsoft’s major theme for Office 365, which postulates that a modern productive workforce needs better collaboration tools. When you consider recent app releases like Edge, Sway, and now Snip, you can begin to see where Microsoft is heading.

If you need to communicate an idea in a simple but effective way, Microsoft is saying it has the tool you seek. It would not  be a surprise if Snip become an integrated part of Office 365 in the near future.

October is National Cyber Security Awareness Month by Department of Homeland Security.

National Cyber Security Awareness Month encourages vigilance and protection by sharing tips and best practices in regard to how to stay safe.

Small businesses are a large target for criminals because they have limited resources dedicated to information system security.  Cyber criminals look for access to sensitive data.

Create a cyber security plan

The Federal Communications Commission offers a Cyber Planner for small businesses.  The planner guide allows specific sections to be added to your guide, including Privacy and Data Security, Scams/Fraud, Network Security, Website Security, Email, Mobile Devices, Employees, Facility Security, Operational Security, Payment Cards, Incident Response/Reporting and Policy Development/Management.

Generate a personalized Small Biz Cyber Planner Guide.

Establish Rules and Educate Employees

Create rules and guidelines for protecting information.  Educate employees on how to post online in a way that does not share intellectual property.  Clearly explain the penalties for violating security policies.

Network Protection

Deploy and update protection software, such a antivirus and antispyware software, on each computer within your network.  Create a regularly scheduled full computer scan.

Manage and assess risk

Cyber criminals often use small businesses that are less-protected to get to larger businesses.  Being a victim of a cyber-attack can have a huge impact on any business including financial issues, loss of possible business partner(s) and many more issues.

Download and install software updates

Installing software updates from vendors can protect your network for unwanted viruses and malware.  Vendors frequently release patches/updates for their software to improve performance and fine-tune software security.  (Example:  Adobe Reader, Adobe Flash and Java updates are critical for protection.)

Backup important business data and information

Create a backup plan for all data including documents, databases, files, HR records and accounting files.  A regularly scheduled backup can be a full, differential or incremental.

  • Full Backup:  Backup of all data.
  • Differential Backup:  Backup of all data that has changed since the last full backup.
  • Incremental Backup:  Backup of all data that has changed since the last full or incremental backup.

Control physical access

Protecting physical property is a very important role in protecting intellectual data.  Create a physical security plan to prevent unauthorized access to business computers and components. 

Secure Wi-Fi

Securing your Wi-Fi network consists of a few configurations.  Configure a device administrator password for your wireless access point (WAP) or router, require a password for Wi-Fi access and do not allow the WAP or router to broadcast the Service Set Identifier (SSID), also known, as network name.

 

Microsoft Stream: The future of secure business video

Microsoft is previewing Stream, a new service for publishing and managing business videos. One day it will be the default video publishing system for Office 365.

On July 18, 2016, Microsoft announced that a preview version of a new service called Microsoft Stream was available. Like most of you, I passed over the news with an indifferent “whatever” attitude. But later I realized that the news was actually more important than I had first thought.

Microsoft Stream fulfills a niche by providing a secure place to share videos created within, and for, businesses. By using a cloud-based service like this, businesses can reap the benefits of video communication without the threat of anonymous forum trolls trashing the brand or harassing employees.

Upload and forget it

While it is still a preview version, Microsoft Stream seems mostly ready for prime time. All you have to do is set up an account with a valid business email—One can use a personal domain email—and then log in. To test how easy Stream is to work with, you can make a 10-second video with a smartphone. Upload your video to Google Drive and then drag and drop it on the Stream portal website.

The web service processes the video while you give it a title and a brief description. Stream then asks if you are ready to publish and when you say yes, it publishes the video after a few seconds of grinding. It takes all of two minutes from start to finish and requires nothing more technical than knowing how to drag and drop a file.

Gone are the days of worrying about file format, aspect ratio, preferred playback applications, and all the other minutia we had to go through in years past to get a video published. You just take the video and then publish the video.

Video management

The key features of Microsoft Stream have to do with managing videos after they are published. Videos can be classified and placed into specific channels. Those channels can have their access restricted to certain individuals or certain groups, like a specific department, for instance. Access is controlled via the Azure Active Directory system.

According to the blog post, Microsoft plans to integrate Stream into the existing Office 365 Video system. Once the integration is complete, Microsoft Stream will be the default system for publishing video in an Office 365 environment.

There are plans in the works to add intelligent search to Stream by taking advantage of tools like audio transcription and face recognition. Developers are also working on ways to integrate Stream with other tools, like PowerApps, Microsoft Flow, and SharePoint.

Bottom line

We are aware of Microsoft Bookings and how that application attempts to cut out other third-party developers by integrating appointment scheduling for small businesses with the standard Office 365 subscription. By offering Stream, a secure video publishing and management service, Microsoft is attempting to execute the same strategy for video publishing.

Microsoft Stream gives businesses a secure system for publishing videos. Through Stream, businesses control access and manage who can see what and when they can see it. And because it is all handled internally, problems with anonymous forum trolls are likely to be reduced.

It seems that Microsoft’s grand strategy is to become the only software company a business needs—ever. The glaring application that Office 365 is missing now is a double-entry accounting system that includes payroll, accounts receivable, accounts payable, and the general ledger. Should we be looking for an announcement regarding those applications soon, Microsoft?

Get an early look at the new Office 365 admin center

Tracking and reporting activity in Office 365 using the built-in admin tools is about to get much better. Here’s what the revamped admin center has to offer.

Gathering usage information about Microsoft Office 365 in an enterprise is limited by the available admin tools. To make matters worse, as Microsoft adds new applications to Office 365, the ability to track if, and how, users were consuming the new features has been even more difficult. But with the rollout of the new Office 365 admin center in March 2016, those limitations are quickly disappearing.

Reporting

At first glance, you may think the main activity for any Office 365 admin is adding and subtracting employees from the active roster. But a good admin should be doing much more.

As the number of applications in Office 365 has grown substantially in recent years, the need to track all Office 365 activity has also grown. This need to track activity is especially important in larger enterprises where mishandled resources can raise overall costs significantly.

For example, knowing how many employees actually use Yammer on a weekly basis, and when, could help admins predict when resources will be taxed the most. Or tracking how users are actually using collaboration tools like Skype and Delve may lead an admin to conclude that more training on those applications is needed because the apps are underutilized. These are the sort of questions the new Office 365 admin center is looking to answer.

By simplifying the interface and creating ready-to-use dashboards, Microsoft is trying to streamline the reporting process. Tracking email activity and other peak usage data is just a few clicks away. And as the new Office 365 admin center is rolled out, there will also be tools admins can use to create custom reports.

Speaking from personal experience, the new admin dashboard interface is a welcome improvement. Navigation in the new admin center closely matches the familiar navigation system of other Office 365 apps. The previous admin center, with its heavy use of linked text, looked almost tacked on as an afterthought.

Rollout

The new Office 365 admin center is rolling out in the United States right now and will be the default reporting experience very soon. The new center will roll out to other parts of the world in April 2016.

If you’re not ready for the change, you can roll back to the old admin system during this introductory phase. On the other hand, if you’re anxious for a change, you can click the Get A Sneak Peek link at the top of the old Office 365 admin center to force the installation of the new system.

Bottom line

For most users, administering Office 365 is someone else’s responsibility, but that does not diminish its importance to an enterprise.

A good admin should be able to track what activity is taking place within Office 365 and, more important, what activity is not taking place. Knowing who uses what applications for how long, and when, is essential information. Armed with that knowledge, administrators can determine how to better allocate resources and where new training for users may be required.

With the rollout of the new Office 365 admin center, Microsoft is using feedback received from its customers to create tools and dashboards that it hopes will make the tracking of vital activity data in Office 365 an easily achieved reality.
